Standard Operating Procedure – Prevention of COVID-19

The Students, faculty & staff and visitors to the Pune Lavasa Campus are mandated to follow the Standard Operating Procedure during COVID-19 Pandemic issued by the University as hereunder.

INTRODUCTION

Coronavirus, COVID-19, pandemic has affected several countries. The virus is highly infectious and is spread by aerosol transmission. Anyone coming into direct contact with an infected person through droplets (sneezing or coughing) or by touching one’s eyes, nostrils or mouth after laying hands on any infected hard surface such as door handles, switches etc. carries a high risk of getting infected by the virus. The infection may lead to severe respiratory problems and may become fatal in some cases. The WHO and the Government of India have prescribed several precautions to be followed to stay away from the infection. CHRIST deems it its utmost duty to keep all its stakeholders well informed of the laid down precautions to ensure their safety and health at all times whether they remain within or outside the campus. The University has therefore developed a Standard Operating Procedure in respect to its academic activities and facilities to be followed by all concerned during COVID-19 pandemic. The SOP has been further modified to incorporate the guidelines provided by the Government Of India, Ministry Of Health & Family Welfare SOP On Preventive Measures To Contain Spread Of COVID-19 In Skill Or Entrepreneurship Training Institutions, Higher Educational Institutions Conducting Doctoral Courses And Postgraduate Studies In Technical & Professional Programmes Requiring Laboratory / Experimental Work Dated 1st March 2021 (In supersession of guidelines issued earlier dated 8th September 2020)

The purpose of this Standard Operating Procedure (SOP) is to have a mandatory procedure to be followed by every member entering, remaining and/or residing in the campuses of the institution to prevent/check the spread of COVID-19. The SOP has been particularly developed to save the academic year for the students and for enabling commencement of on-campus instruction. All the entrants to the campus or to its academic/administrative facilities including hostels, stores, canteens, bank ATM etc. must necessarily follow the listed procedure. Subject to directional guidelines that may be issued by the State/Central Government from time to time, no visitors including staff, students, parents, guests and vendors shall be allowed entry into the Campus or to its facilities unless pre-screened and by wearing protective face masks and that too only for pre-approved / urgent reasons.

The Scope of the SOP is to specify the guidelines that will be adopted by the University in the day to day conduct of its teaching/learning responsibilities and for hygienic maintenance of the academic and non-academic support facilities. The SOP shall also prescribe the safety precautions to be followed by students, faculty members and non-teaching staff members regularly while in Campus until such time the COVID-19 is fully eradicated.

Generic Preventive Measures

The generic preventive measures include simple public health measures that are to be followed to reduce the risk of COVID-19. These measures need to be observed by all (faculty, employees, students and visitors) in these places at all times. These include:

  1. Individuals must maintain a minimum distance of 6 feet in public places as far as feasible.
  2. Use of face covers/masks at all times. They must be worn properly to cover the nose and mouth. Touching the front portion of mask/face covers to be avoided.
  3. Frequent hand washing with soap (for at least 40-60 seconds) even when hands are not visibly dirty. Use of alcohol-based hand sanitizers (for at least 20 seconds) can be done wherever feasible.
  4. Respiratory etiquettes to be strictly followed. This involves strict practice of covering one’s mouth and nose while coughing/sneezing with tissue / handkerchief / flexed elbow and disposing of used tissues properly.
  5. Self-monitoring of health by all and reporting any illness at the earliest.
  6. Spitting shall be strictly prohibited

Protocol for General Cleaning, Maintenance and Hygiene of Campus Infrastructure

The University shall ensure that its entire Campus premises of academic, administrative and other buildings including pathways, washrooms, staircases, lifts etc. are well maintained with hygienic care by carrying out the following procedures.

  1. Daily sweeping and wet mopping of all room floors with a disinfectant soap solution.
  2. Daily cleaning of all Door and window handles/knobs, railings of the staircases, lift exteriors, washbasin & closet handles/knobs with a disinfectant soap solution.  
  3. Daily cleaning of all tables/chairs/desks/benches in all rooms including offices, canteens etc. with disinfectant cleaning liquid.
  4.  Daily cleaning of Gym equipment/computers/copiers/water coolers etc. with disinfectant cleaning liquid
  5. Daily cleaning of the transporting vehicles and spraying of its interior with disinfectants
  6. Weekly spraying of approved disinfectants on all classrooms, faculty cabins, meeting rooms, offices, canteens, lift interiors, washrooms etc. and all such areas where people move about.
  7.  Weekly cleaning of all Hostel Rooms and residences including spraying of approved disinfectants.
  8. Weekly fumigation of interior and exterior of all buildings of the University housed within its Campus and the interior of all its hostels and residences.

Protocol for Personal Hygiene and Safety

  1.  Everyone entering the classrooms/offices/ canteen etc. must ensure hand wash with soap or sanitizer provided at the entrance of the buildings/washrooms.
  2. Use disposable tissues (napkins) for wiping after hand wash. No towels will be provided in the washrooms. Dispose of the used tissues in the self-closing dustbins provided. In case of use of handkerchief follow proper handkerchief hygiene
    practices.
  3. Personal greeting of each other must be restricted to smile and there shall be no hugging or shaking hands.
  4. Ensure to cover the nose and mouth with a handkerchief while sneezing or coughing, and soap wash the handkerchief regularly.
  5. Always keep a physical distance of at least one meter and wear the face mask while using the lift and whenever meeting anyone in or outside the classrooms or offices.
  6. Wash and dry the reusable face masks at least once in a day.
  7. Do not allow usage of one’s personal phones/laptops by another.
  8. Always drink water using a personal water bottle and avoid sharing food.

 Protocol at the Entry Points

  1. Entrance to have mandatory hand hygiene (sanitizer dispenser) and thermal screening provisions. Multiple gates/separate gates, if feasible, should be used for entry and exit while maintaining physical distancing norms.
  2. Only asymptomatic persons (faculty, employees, students and visitors) to be allowed in the premises. If a faculty / employee / student / visitor is found to be symptomatic, he/she should be referred to the nearest health center.
  3. Posters/standees on preventive measures about COVID-19 to be displayed prominently.
  4. Proper crowd management in the parking lots, in corridors and in elevators – duly following physical distancing norms shall be organized by the management.
  5. Entry of visitors should be strictly regulated/restricted.

 Protocol for Recording Staff Attendance

  1.  Sign in and sign out by the employees shall be through face recognition mode, avoiding using thumb impression.
  2. Staff members have to strictly avoid overcrowding while sign in/out and while
    queuing for marking attendance everyone must keep the prescribed safe distance.

The Protocol within the Offices

  1. The Office staff must be seated keeping the safe distance and must be wearing a face mask at all times and shall follow the prescribed Protocol for Personal Hygiene and Safety to the extent applicable
  2.  All transactions with the Offices as far as possible must be done ‘online’ through the website of the University.
  3. For any transaction with the Offices which cannot be done online, visit to the office must be only during specified time schedules and by following a queue system of safe distance. There shall be no physical contact whatsoever while doing the transaction. All outside visitors must necessarily be wearing the protective face mask.

The Protocol within the Classrooms/Library/Meeting Rooms

  1. Classes shall be held on-campus for different programs with the approval of government and Higher education bodies, until then classes shall be held ‘online’ through appropriate learning platform/s.
  2.  In order to attend the on-campus course instruction, the students are required to pre-register in the student account of Knowledge Pro (KP) ERP within the date specified and upload the ‘Letter of Consent and Undertaking’ given in Annexure A.
  3. The students who are not local residents and are travelling from other places to attend on-campus instruction including laboratory, should reach their places of stay, including the University Student Halls (Hostels), in advance and quarantine
    themselves, following the quarantine protocol.
  4. The students should wear Identity Cards while entering and at all times on the campus. In the case of non-issue of Identity Cards in the case of first years in the initial days of attending the class, they should identify themselves with their registration number and programme at the entrance of the Campus.
  5. While holding classes in regular classrooms or in the computer labs, the students shall be seated keeping the safe distance and they shall be required to follow the prescribed Protocol Personal Hygiene and Safety to the extent applicable.
  6. Use of the Library shall be with staggered hours for students of different programmes to prevent overcrowding and entry shall be strictly in accordance with the schedule that may be prescribed. All students/faculty entering the Library shall be required to follow the prescribed Protocol for Personal Hygiene and Safety to the extent applicable.
  7. Any meeting of non-teaching staff/faculty or of Regulatory Bodies shall be held only in pre-sanitised meeting rooms and everyone attending the meeting shall follow the prescribed Protocol for Personal Hygiene and Safety to the extent applicable.

The Protocol within the Canteen / Campus Store

  1.  Canteen facilities shall be staggered which may be as follows: breakfast hours between 7/7.30 AM and 9/10. AM and Lunch Hours between 12.30 PM and 2.30 PM and Dinner Hours (if provided) between 7 PM and 8.30/9 PM. This is aimed to
    prevent overcrowding.
  2. Seating will be subject to a prescribed safe distance.
  3. Food served at the canteen shall be on hygienically sanitised crockery/plates/cups
  4.  Everyone entering the Canteen shall follow the prescribed Protocol for Personal Hygiene and Safety to the extent applicable.
  5.  Anyone availing the service from the campus stores at the University shall follow a queue system of safe distance. There shall be no physical contact whatsoever while doing the transaction.
  6. All payments in the canteen as well as in the campus stores as far as possible must be through the digital mode, especially through payment apps such as BHIM/Google Pay/PhonePe/Paytm and must avoid usage of Debit/Credit Cards as far as possible.

Protocol at Bank ATM

While using the Bank ATM at the Campus or elsewhere the following procedure must be followed.

  1. Do not enter the ATM Lobby if someone else is transacting
  2.  Do not enter the ATM Lobby if having any symptom of cold, flu or fever.
  3.  Wear facemask while inside the ATM Lobby.
  4. Sanitize your hands before and after transacting at the ATM/Cash Kiosk
  5. Minimize hand touch areas in the ATM Lobby
  6. Do not leave any used tissue or such material within the ATM Lobby.

The Protocol within the Student Residential Halls (Hostels)

  1. The students who are staying in the University student halls should carry a Negative RT-PCR report obtained from an ICMR Approved Lab, not earlier than 72 hours before his/her reporting to the student halls.
  2. Screening of every boarder needs to be done before they start staying at the hostel. Only asymptomatic borders should be allowed to join. Symptomatic boarders shall be isolated in the designated isolation facility at the institute, till such time, they are seen by a doctor.
  3. The Inmates must maintain absolute cleanliness within the hostel and shall follow the prescribed Protocol for Personal Hygiene and Safety to the extent applicable.
  4. Dispose of all waste in the prescribed manner and ensure that the House Keeping Staff regularly attend to the specified cleaning activities as per Hostel Regulation of the University.
  5. Do not allow or entertain any outsider including relatives and friends (other than those who are authorised) to enter the Hostel Room for any purpose whatsoever. Avoid socializing absolutely.
  6. As far as possible the inmates should stay within their allocated rooms and usage of the common room must be for essential purposes by following the safe distance procedure.
  7. Those who occupy hostels on a sharing basis must stick to strict exclusive use of their personal belongings, particularly cosmetics like soap, comb, shaving kits and the like.
  8. While going out for getting groceries or other essentials including for food wear the face mask and maintain safe distance requirements. Always do proper hand wash with soap immediately on return.
  9. If food is ordered for delivery through any of the catering service providers, make it prepaid and use the food by transferring to your own crockery/vessel. As far as possible avoid the use of the containers in which the food is brought.
  10.  If feeling unwell while on stay in the Hostel the inmates must strictly follow the Protocol during Sickness.
  11.  If the sick inmate fails to report sickness as per the specified Protocol for any reason whatsoever, it shall be the duty of co-inmates to bring the same to the notice of the Hostel Warden and the Protocol Monitoring Team.

 Protocol during Sickness

  1.  If any student, faculty, non-teaching staff or any other member of the University community falls sick with one or more of cold, cough, fever, headache, breathing difficulty, vomiting sensation, diarrhea or loss of taste or smell, irrespective of their place of stay, shall immediately report to Protocol Monitoring Team (PMT) and get themselves tested at the fever clinic or at the outpatient centre of the recognized hospital.
  2. The PMT depending on the recommended medical advice shall take immediate steps either to isolate the patient in quarantine in one of the residences of the University or shall get the patient admitted to a recognised hospital and shall extend all necessary care and support.
  3. All cases of isolation/quarantine of any of the students shall be immediately notified to their parents.
  4. Any student /faculty/non-teaching staff suffering from any of the said symptoms and are only prescribed medicines and not advised for isolation may attend classes /duties subject to maintaining social distancing and wearing the face masks at all times. However, all such persons shall undertake a weekly medical review.
  5. Any student /faculty/non-teaching staff who is a primary or secondary contact of a COVID-19 case shall immediately disclose the fact to Protocol Monitoring Team (PMT) and shall self-quarantine as per the prescribed guidelines of the Department of
    Health and Family Welfare Services, Government of Maharashtra 
  6. If there is clustering of cases in hostel/residential building, it shall be informed to the local health authorities immediately

 General Protocol

The General Protocol refers to guidelines as detailed hereunder that will be applicable towards monitoring the compliance of all the specified Protocols.

  1.  The University shall make a continuous digital display at various vantage points in different locations of the Campus of various protocols to be followed
  2. There shall be a Protocol Monitoring Team (PMT) consisting of faculty members and senior students who shall be responsible to ensure compliance of the Protocols by all concerned. The PMT headed by a senior faculty shall report to the Campus Director/Director of Student Services.
  3. Other than the PMT the Security Personnel shall be authorised to intervene as and when they observe any violation of the Protocol norms, with due information to PMT.
  4. The Housekeeping Staff, Canteen Staff including Kitchen, Campus Store Attendants, Gym Attendants and the Laboratory Attendants shall carry out their respective job responsibilities in accordance with the requirements of the applicable Protocol and shall be under the direct administrative supervision of the PMT.
  5. The Hostel Wardens concerned shall oversee the expected Protocol compliances in the Hostel/s under their charge and shall take corrective measures as and when required.
